WORKFLOW NOTICE

Last modified: November 15, 2023

PHASE 1 - ACCOUNT MAINTENANCE

STEP 1 - MASTER SERVICE AGREEMENT SIGNED & DELIVERED

We need to get the MSA signed and delivered before we can start any work on the accounts.

STEP 2 - STATEMENT OF WORK() SIGNED & DELIVERED

The SOW should outline all assigned personnel working on the account, an overview of the project expectations and findings, client and agency contact details, pricing details, and/or payment schedules.

STEP 3 - ESTIMATES, INVOICES, & DEPOSITS CLEARED

If otherwise negotiated, we will need to ensure first month, last month, and R&R (research and review) fees are initially settled. We need to ensure an adequate amount of project funding is present in order to cover the large up-start costs incurred by the agency.

STEP 4 - MYACCOUNT SETUP & OVERVIEW

We’ll have a Project Accountant reach out and walk you through your RHI MyAccount. We have a credit card pre-authorization system in place to prevent late or missed billing from occurring. ACH and wire transfers are also available for preferred method of payment.

STEP 5 - WORKSPACE

The RHI Workspace serves as the central nervous system to our business relationship. In this portal, you will have access to our secure Dropbox, task management, reporting, instant messaging, queries, timesheets, and deliverables. If you wish to use any external tools, there will be a licensing fee added to your bill monthly. Using our platform is free.

STEP 6 - VAULT, DRIVES, PASSWORD, & I/M SHARE

Alternatively, if you just wish to have access to just the secure dropbox, then you may pin this link to access your files in the cloud. This dropbox contains the same folders in the Workspace documents section. These platforms are linked.

PHASE 2 - DISCOVERY

STEP 7 - COMPANY PROFILE

At this step we have our senior management put together an internal company profile into our system. We perform a due diligence check and request the company’s dossier (articles, certificates, EIN verification, org charts, etc.).

STEP 8 - RESEARCH & REVIEW ACCOUNTS

We simply have our CPA’s reverse-engineer the previous accounting methodologies previously used on the books. We have to review all past entries and establish a firm understanding of how we should be performing the bookkeeping and accounting duties moving forward.

PHASE 3 - PROJECT MANAGEMENT

STEP 9 - PROJECT MANAGEMENT

At this step we have our senior management put together an internal company profile into our system. We perform a due diligence check and request the company’s dossier (articles, certificates, EIN verification, org charts, etc.).

STEP 10 - RESEARCH & REVIEW ACCOUNTS

We set the deliverables for the remainder of the calendar year. All timesheets, reports, queries, and general tasks will be associated with each individual deliverable. We work in 45-day increments, not 30-day increments.

STEP 11 - PORTALS

By now you should be able to access all portals and IM platforms. We do a quick systems diagnostics to ensure all is well with communications and access.

STEP 12 - MEETINGS (IF APPLICABLE)

Please be advised that we only provide meetings with our Financial Advisory & Leadership services. End-of-Month meetings need to be negotiated into the original SOW.
